Zoom Online Fax

Online Fax allows users to use their Zoom Phone number to send and receive faxes directly through their Zoom Workplace application. Users can fax directly from their desktop app or mobile app without the need of a physical fax machine or analog line.

  • Uses your Zoom phone number to send and receive fax transmissions
  • Zoom Phone traffic is fully encrypted, ensuring the same level of privacy as traditional fax
  • Allows attachments up to 50 MB and 300 pages
  • Supports multiple document formats (PDF, JPG, JPEG, TXT, PNG, DOC, DOCX)

Call Screening

Zoom Phone now includes an optional Call Screening feature that allows you to hear the caller’s name before deciding whether you’d like to accept the call. When enabled, unknown callers are asked to state their name, which often causes robocalls to hang up automatically.

To enable Call Screening:

  1. Open villanova.zoom.us in your web browser and sign in with SSO.
  • Currently, this must be configured in the web browser.
  1. Click the Phone tab.
  2. Click Settings.
  3. Enable Call Screening.

Using Business & Holiday Hours to Fit Your Schedule

Zoom Phone also allows you to control when calls reach you by adjusting your Business Hours and Holiday Hours. This feature is especially helpful for faculty and staff who may not want to receive calls during certain times—such as while teaching a class, during meetings, our outside of office hours.

To update your hours:

  1. Open the Zoom Workplace app.
  2. Click your Profile icon.
  3. Click Settings.
  4. Click Phone.
  5. Under Business Hours, customize the times you want calls to ring.
  6. Add Holiday Hours if you want special schedules for days you are unavailable.

In-App Settings

Most Zoom Phone settings can now be managed directly within the Zoom Workplace app, making it easier to update your phone preferences without logging into a separate website.

You can also continue managing these settings through the Zoom web portal at villanova.zoom.us if you prefer.

Key settings you can adjust include:

  • Voicemail setup—Record greetings, customize voicemail notifications, and manage voicemail preferences.
  • Business Hours—Set when your phone should ring during the day.
  • Holiday Hours—Automatically send calls to voicemail during holidays or time away.

Having these settings available directly in the app makes it faster to update your availability or voicemail greeting when your schedule changes.
