Overview
Online Fax allows you to use your Zoom Phone number to send and receive faxes directly through your Zoom Workplace application. You can fax directly from your desktop app or mobile app without the need of a physical fax machine or analog line.
- Uses your Zoom phone number to send and receive fax transmissions
- Zoom Phone traffic is fully encrypted, ensuring the same level of privacy as traditional fax
- Allows attachments up to 50 MB and 300 pages

Instructions
Accessing Online Fax through Zoom Phone
- Sign in to the Zoom Workplace desktop application using SSO and your Villanova credentials.
- Click the Phone tab.
- Click the Fax tab.
- You will be directed to the Inbox.
Sending a Fax
- In the top-right corner of the left navigation menu, click the "+ New Fax" button. A pop-up window will appear.
- In the window, enter the information for the fax:
- To: Select a contact, email address, or enter a fax number. After adding the contact or phone number, press Enter.
- From: Click the drop down and select the fax number you want to send the fax from.
- Fax cover (Optional): Click Select a cover.
- Attachment: Click to upload or drop a local file.
Note: The acceptable file formats are PDF, JPG, JPEG, TXT, PNG, DOC, and DOCX. The total attachment size must not exceed 50 MB.
- Use the six dots by each attachment to change the attachment order.
- To the right of an attachment, click the X icon to remove the attachment.
- (Optional) In the bottom-left corner, click Save as draft. The fax will be saved as a draft.
- Click Send.
Keeping sensitive documents safe and secure
- All faxes are encrypted with TLS in transit and securely stored to protect confidential information.
- Faxing is often seen as a more secure option for sending certain communications, but if you work in an open office, your fax could be accidentally picked up and read by a colleague. With online fax, the file is sent directly to your email or online fax portal so sensitive information isn’t intercepted, making it even more secure than traditional fax.
