Being able to easily share files and documents with the right people while preventing unauthorized access is key to the University's operations and maintaining a secure environment.
Follow the steps below to share documents with others internal to Villanova from Microsoft SharePoint or Teams.
Limit sharing content to only the individuals or groups who need access. Avoid using the setting "Share with People in Villanova University", which gives everyone with a Villanova account access to the file, except when there is a clear business need.
Instructions
- Navigate to the SharePoint site and go to the Documents library
OR Open the relevant Teams channel and go to the Files tab.

- Hover over the name of the file you want to share and click on the arrow "share" icon.

A pop-up box will appear. Enter the name or email of the internal Villanova recipient(s) you would like to send the file.

Click on the pencil icon to change the permission settings of what the recipient(s) can do with the shared file.

Type a short message and click Send to notify the recipient(s) you are sharing the file with them.

Alternatively, you can copy a link to the file and share with the recipient(s) via Teams, an existing email threat, etc.
