Index Fund: New Index Fund Request Process

Overview

Requesting a new Index Fund is straightforward, but what happens next depends on your role. Here’s what to expect:

  • Requestors – The person submitting the request through the online form.
  • Owners – The person responsible for managing the Index Fund once it’s created.
  • Approvers – The person who reviews and approves the request before the fund can be created.

If You Are the Requestor

When submitting the New Index Fund request form, you’ll be asked to provide basic information including whether you are the owner of the fund:

  • If you are the owner: You’ll complete all required information at the time you submit the request.
  • If you are not the owner: You’ll select the person who will own the fund, and that person will be contacted to provide additional details.

Once submitted, your request will move forward for review and approval.

If You Are the Fund Owner (but not the person who submitted the request)

You will receive an email asking you to complete a short form via Qualtrics. This form collects key information about the fund, including:

  • Who should approve creation of the fund
  • Who should have access to it and what kind of access (viewing or purchasing)
  • Approval roles for purchases or payments

Filling out this form ensures the fund is set up correctly.

If You Are the Approver

After all the necessary details are collected, you’ll receive an email containing a request to review the new Index Fund request. Your approval allows our team to move forward with setting up the fund.

What Happens After Approval?

  • A member of the Controller's Office team will create the Index Fund.
  • Once complete, a confirmation email will be sent to the requestor, owner, and approver containing the new Index Fund details.
