Overview
This document will provide an overview of Outlook Archive mailboxes in the Villanova Outlook environment.
Outlook Archive Mailbox
Note: The process of setting up an Archive Mailbox is irreversible and will permanently change the way older emails are indexed and found within Outlook, as well as permanently adding an Archive sub-folder.
A standard Villanova Outlook account has 100GB of storage. If more than 90GB of this storage is used, UNIT may implement an Archive Mailbox on the account, which allows storage beyond the standard 100GB. If you meet this threshold, UNIT will contact you in advance of enabling an Archive Mailbox on your account.
- When the archive is enabled, you will see a folder added to your mailbox:
- This folder will contain a copy of your Inbox with emails 2 years and older:
- Emails newer than 2 years will not be searchable in the Archive Mailbox, but will remain in your normal mailbox. Items deleted from your standard Inbox and its sub-folders will not be deleted from the Archive Mailbox.
- To search for emails older than two years, you must navigate to the Archive Mailbox. You can choose to search for items within the entire archive or within specific sub-folders using the standard Outlook search bar at the top of the application:
If you would prefer a combined search with both archived and newer emails, go to File and click Options, then choose "Search" and select "All Mailboxes" under the "Include Results only from" category.
