
Tidying up isn't just for your physical space! While it doesn't have to be in the spring, it's wise to declutter your digital devices and online presence at least once a year. This cleanup will not only help you manage your data more easily, but it will also help keep you safe online.
Avoid feeling overwhelmed by tackling these tasks one app or system at a time. Five to 10 minute here and there, spread over the course of a week, and you'll be done in no time!
Clean up your passwords and leverage a password manager
Chances are you have some old, unsecure passwords that need to be cleaned up or you're using the same password for multiple accounts. The goal is to create a long, unique and memorable password for each of your individual accounts and devices. Review your logins and download a password manager to help securely store, manage and even generate new passwords in a single app.
Refresh your multi-factor authentication settings
Like a home security system, multi-factor authentication (MFA) offers an extra protection for your accounts by requiring a two-step process to verify your identity There are a variety of options including security questions, passcodes and mobile apps. When enabling a new option or reviewing existing settings, opt for MFA exclusively via an app whenever possible. Avoid relying on text messages or mobile phone calls for verification, as they can leave you vulnerable to SIM swapping—when a cybercriminal physically steals your phone's SIM card or tricks your mobile service provider into porting your number to their phone.
Check app permissions and declutter old accounts
Many apps and online accounts have basic settings that collect information that is not required or relevant to the services they offer, such as your location, contacts, and photos. Review the privacy and security settings on your accounts to take control of what you want to share. As you review your apps, consider if you plan on using them anymore. Don't need it? Delete it. Uninstalling apps from your phone or computer not only declutters your home screen but ensures your data isn't shared with apps you no longer use.
Update your software and set automatic updates
Don't sleep on software updates! These updates fix general software problems and provide new security features against the latest threats. Check your web browser, laptop, phone and other devices or apps for available updates. Turn on automatic updates whenever available; if that's not an option, set yourself a calendar reminder to check for updates every quarter.
Back up your data and encrypt external devices
While you're tidying up, create a system to protect your important information in case your device is lost, stolen or breaks down. Save electronic files and back up your data via OneDrive. If you choose to back up any information using external hard drives or USB drives, ensure they are encrypted. Make a plan to back up your data frequently, ideally at least once a week.
Securely dispose of old devices
Take an inventory of any electronics you don't need and get rid of them--but don't just throw them in the trash! Not only is it bad for the environment, but you also don't know who will find them once you get rid of them. For personal devices, wipe all data by performing a factory reset and removing any memory cards or hard drives, then take them to an e-waste recycling location for proper disposal.
