Overview
All University systems reference the Banner ERP Advisor Assignments in SGAADVR - Mutliple Advisors Form. Authorized administrative department and college staff assign advisors to student records by using this banner form.
Requirements
Must have update access to SGAADVR in banner. To request this access please submit a UTS ticket request. Registrar's Office can provide additional training.
Instructions
Valid Advisor Types
A student may have many advisors and/or support members assigned to their record by academic term. They are differentiated by advisor type. Students must have a Primary Academic Advisor assigned in order for various systems to identify the advisor/advisee relationship.

Add Advisor(s) to a Student's Record
- Go to banner.villanova.edu and log in with your University log in credentials. Must be on network VPN if working remotely.
- From the Direct Navigation field enter SGAADVR or Search for Multiple Advisors Form
- Enter the student's ID.
- Enter the term code for the first term that the advising relationship is effective.
This is typically the student's first term of study under their current program. Note: you cannot enter a term prior to the student's first term of study.
- Click the Go button (Alt + Page Down)
If an advisor name appears in the display, go to Change the Existing Advisor instructions.
- Enter the advisor's ID or perform a search to find the advisor:
a) Click the button with the ellipses (...)
b) From SIAIQRY page click GO
c) Perform search by Last Name click GO
d) Select the person by double clicking on the name or SELECT button (Alt + S)
If the advisor is not found, contact registrar@villanova.edu to create an active advisor record for the person.
- Type ACAD in the Advisor Type field (for Academic Advisor Primary). There must be a unique advisor type associated with each advisor on a student record.
- Click in the primary indicator box to check it. This will associate the primary advising relationship with the ACAD advisor assignment. There can be only one primary advisor relationship at a time.
- If you have additional advisor types to add, select +Insert from the header row to insert a new row and enter a Valid Advisor Type (listed above.)
- Click SAVE (F10)
DO NOT TYPE OVER A RECORD ROW TO CORRECT IT, use the -delete and + insert icons to add or remove rows.
Change the Existing Advisor(s) on a Student's Record
- Go to banner.villanova.edu and log in with your University log in credentials. Must be on network VPN if working remotely.
- From the Direct Navigation field enter SGAADVR or Search for Multiple Advisors Form
- Enter the student's ID.
- Enter the term code for which you want the new advisor relationship to be the new effective start term ("from term").
Typically, this is the term following the student's current term advising relationship, but it can also be the current term if you are replacing one or more people in the advising relationship for the current term. 999999 is NOT a valid start term, it stands for end of time and is only a valid end term ('to term").
- Click the GO button (Alt + Page Down).
If the Advisor field is blank in the display, go to Add an Advisor instructions
- Press the Maintenance button. Click on Copy Advisor
- Go to the line of the exiting Advisor you wish to change. Select - Delete (Shift F6) to remove the advisor. (Do not type over the existing advisor record). Then Select +Insert(F6) for a new row to add a different advisor.
- Enter the advisor's ID or do a search to find the person (refer to step 6 from Add an Advisor Instructions). Enter the Advisor type for the advising relationship you are changing. A unique Advisor Type must be associated with each advisor on a student record. Check the primary indicator box, only if this is the primary academic advisor (ACAD).
- If you have additional advising relationships to add, select +Insert (F6) for a new row. Enter Valid Advisor Types (listed above).
- Click SAVE (F10) to save all changes.

| Provides visibility privileges to the current term and next subsequent term advisors simultaneously. Therefore, if a student has one primary academic advisor in the current term and a different one in the next subsequent term, both will be able to see all of the student's record in Slate and use all functionality. It will appear as though the student has more than one primary advisor, but they are the current advisor for different terms (current and subsequent). |
References the primary advisor in the maximum future term. Therefore, if a student has a primary academic advisor assigned to a future term (and it is different than the advisor in the current term), that future term advisor is the designated primary advisor to review documents for approval in work flows and will be listed as primary advisor in pre-populated fields on the document. |
Provides visibility privileges to advisor assignments by selected term. When accessing NOVASIS pages, advisors first select the term relevant to the function they are looking to perform (i.e., view student profile, view student schedule, view student grades, view academic transcript, etc.). Then, they search for the advisee or access "My Advisee Listing' for the term. Whatever assignment pertains to the term selected, that is the access they will receive. If the users is the current term advisor, select the current term. If they are the subsequent term advisor, select the subsequent term to view the advisee. |
As long as the user is an active advisor, they can access the Degree Works record of any student. There is a field on the audit which displays the primary advisor name which currently is coded to display the maximum future term relationship. When a student changes majors in a subsequent term, it will be that primary advisor whose name appears on the degree audit. |
