Overview
There are many instances where you may want to share a Mediasite presentation with a specific individual or group only (eg. a student misses class due to illness, academic accommodation purposes, small group projects, etc.). To do this, you need to apply a view permission setting called Only Shared users, which provides a level of access between Only Me (private) and My Organization (visible to logged-in Villanova users).
Prerequisites
Only owners can share content: You cannot share content unless you are listed as the owner. If you need access to share content on behalf of its owner, please contact support@villanova.edu
Mediasite account required: You cannot share content with users who do not have a Mediasite account. If the user you need to share content with does not have an account, please guide them to "Mediasite: Create your Account."
Instructions
1. Log into your MyMediasite account: https://vums-web.villanova.edu/mediasite/mymediasite/
2. Select the Mediasite video presentation you want to share by clicking its title or thumbnail image.
3. Next, move the Who Can View? slider bar on the right-hand side of the page to Only Shared Users so that the presentation is only visible to you and the user(s) you will manually select in Step 5.

4. Next, click on the Share Presentation button under the Who Can View? slider bar.

5. When the Share Presentation pop-up window appears, place your cursor in the "Invite by Email Address or Name" search field. Type the first and last name of the Villanova user with whom you would like to share your presentation. Once the user's name appears, click on it to add them to the invite list.
Repeat this process for each user you wish to add.

NOTE: If you can't find a user’s name, the user either: 1. Still needs to create a Mediasite account or, 2. Changed their Mediasite display name to an honorific/title or nickname (e.g., Dr. Nick Riviera, Judge Mike), which makes it impossible for Mediasite’s exact keyword search to locate them. If you're sure your user has a Mediasite account, but you still cannot find their name, please contact
support@villanova.edu.
6. After adding each user, their names will appear in a list underneath the Invite by Email Address or Name search field. When you’re ready to share, click the “Send Invite” button.

9. Mediasite will automatically send an automated email from user@villanova.mediasite.com, using the subject line “[EXTERNAL] You've been invited to watch Presentation Title”, to each user, including a direct link to your presentation.
Known Issues & Troubleshooting
- The presentation is currently set to "Only Shared Users", but my students still can't access it: Did you invite any shared users to view the presentation after changing the "Who Can View?" slider? If you haven't identified any shared users, the presentation will only be visible to you. Please review Steps 5 & 6 above.
- University email accounts only: Mediasite content sharing is only compatible with Villanova email addresses. If you invited a user who says they never received a notification, have them confirm that their Villanova email address is set as their Mediasite user email (not a Gmail or other 3rd party account). - Lost and Deleted invites: Some users may ignore, mark as Junk, or delete emails from accounts they don’t recognize. If your recipients miss the automated Mediasite email inviting them to view your presentation, take the secondary step to manually share your presentation link with them using our step-by-step guide, 'Mediasite: Share a presentation'.
