Requirements
In order to process a Windows 365 Cloud PC order, the Authorized Approver identified in the request must have:
- Access to NovaBuy
- A Connection (GovConnect) profile. To create a Connection profile, simply launch the GovConnection punchout in NovaBuy. Launching the application will automatically create a profile.

Cost for Windows 365 Cloud PC subscription license requests made prior to Jan 1, 2026 will be covered by Technology Services (for the Microsoft subscription term that runs through January 31, 2026). Renewal costs will be billed to the department in successive years (beginning with the Microsoft subscription term that begins February 1, 2026).

Service Levels
Data Responsibility
University Technology Services (UTS) provisions and manages licenses for Windows 365 Cloud PC and provides support for connectivity and access issues. However, UTS is not responsible for the storage, backup, or recovery of data saved within a Windows 365 Cloud PC environment.
Faculty and staff are responsible for saving all files to approved University storage platforms, such as:
- Microsoft OneDrive for Business
- SharePoint Online
Data stored locally on the Cloud PC may be lost due to license expiration, re-provisioning, or service disruptions. UTS strongly recommends that all work be saved to University-managed cloud storage services, which provide redundancy and recovery options.
