Coursedog: How to Resolve Schedule Conflicts

Overview

This article provides tips if you encounter several types of conflicts when creating or updating a course section. Instead of waiting until schedules have been submitted to identify potential issues, Coursedog identifies conflicts as departments build their schedules. This allows departments to review and resolve potential scheduling issues before submitting courses for validation.

Instructions

Instructor Conflict

An Instructor Conflict occurs when an instructor is assigned to sections with overlapping meeting times.

When an instructor conflict occurs, an error will appear at the top of the course section template.

Editing EDU4281-001 panel showing that the section successfully synced with the SIS on September 28, 2026 at 7:03 AM. Alerts indicate that Aidan Brett is teaching EDU8550 Section 001 at the same time and that Room Bellesini Hall 211 is double booked with EDU8550 Section 001.

The conflict will also appear next to the instructor's name within the section template, indicating the number of conflicts associated with that instructor.

Instructors section showing Aidan Brett as the primary instructor at 100%, with one conflict and a 50% preference fit. Options are available to add an instructor or set instructor roles and details.

How to Resolve an Instructor Conflict

Review the instructor's assignments and determine whether:

  • The instructor assignment needs to be updated, or

  • The meeting day/time for one of the sections needs to be changed.

Room Conflict

The Registrar's Office will continue to take the lead on assigning rooms to courses. However, if you encounter a room conflict involving department-controlled space, it is recommended that the conflict be resolved before submitting your schedule for validation.

If you receive a warning stating: "There is 1 meeting time without a room" you may still submit the section for validation during Phase 1.

The Registrar's Office will handle room assignments as part of the rooming process in Phase 2.

Course/Student Conflict

When building the schedule, departments should consider courses their students may need to take in other departments.

If your students regularly take courses offered by another department, you can use Coursedog to view that department's schedule and avoid scheduling required or commonly paired courses at overlapping times.

How to View Another Department's Sections

From the Section Dashboard, search for the department whose schedule you would like to review.

Section Dashboard showing Fall 2026 as the selected term, with the ‘1. Department Scheduling’ step, an ‘Add Section’ option, and navigation tabs for Sections, Courses, Calendar, and Departments. The Departments tab is highlighted.

All Villanova University departments will be listed. Scroll to the appropriate department and select Show Sections.

Section Dashboard for Fall 2026 with the Departments tab selected. A table lists departments, schedulers, number of courses and sections, conflicts, and actions to validate schedules or show sections. Departments shown include Accountancy and Info Systems, Arts General, Astrophysics and Planetary Science, Augustine & Culture Seminar, Biology, Biomedical Engineering, Chemical & Biological Engineering, Chemistry & Biochemistry, and Church Management.

Note: You will only be able to edit sections for departments to which you have appropriate access. Sections belonging to other departments will be view-only.

Date/Time Conflict

A Date/Time Conflict may occur when a course's meeting pattern overlaps with another assignment associated with the instructor.

An error such as the following will appear:

Editing MAT1290-002 panel showing that the section successfully synced with the SIS on September 28, 2026, at 7:03 AM. A conflict alert indicates that Peter Muller is teaching MAT1290 Section 001 at the same time.

To resolve the conflict, either:

  • Update the instructor assignment, or

  • Change the meeting day/time.

How to Change the Meeting Day/Time

  1. Scroll down to Meeting Patterns & Rooms on the section template.

Meeting Patterns & Rooms showing meetings on Tuesday and Thursday from 10:00 AM to 11:15 AM in a room listed as ‘Tolent...’, with a start date of August 24, 2026 and an end date of December 18, 2026. Options include adding a meeting pattern and setting details.

  1. Click the existing day/time within Meeting Patterns & Rooms. A new window will appear:

Select Meeting Pattern dialog showing a scrollable list of available meeting schedules with days, times, attributes, usage, and preference fit. Filter options include days, times, and attributes. Available meeting patterns display 0 usage and 100% preference fit, with options to use custom times or cancel.

  1. Select a new meeting day/time.

You can narrow the available meeting patterns using filters such as:

  • Days

  • Times, in half-hour increments

  • Attributes, such as Standard Time Sequence or Lab

  1. Select the appropriate new meeting pattern.

Once the meeting pattern has been updated, review the section to confirm that the conflict has been resolved. The conflict should not appear at the top of the section template and allow you to save.

Reviewing Conflicts Before Validation

Before submitting courses for validation, it is recommended that departments review outstanding conflicts using the Reports tab on the left panel navigation bar.

Reports navigation option with a monitor icon.

Once in Reports, select Conflicts.

Conflicts navigation option with an exclamation mark icon.

At the top of the Conflicts report, you can narrow the results by semester and department.

You may also review conflicts across other departments for the current scheduling semester. This can be helpful when determining whether another course is contributing to a conflict with one of your department's sections.

Two dropdown menus showing Fall 2026 as the selected term and Education and Counseling (EDUC) as the selected department.
The conflicts matching your search criteria will appear in the report. You can further narrow the results by selecting a specific conflict type.

Filter by conflict type dropdown menu showing a scrollable list of scheduling conflicts, including room and building blocked-out time conflicts, double-booked instructors, and instructors without meetings. The ‘Double Booked Instructor’ option is highlighted.

When reviewing the Conflict report, click the applicable course to open the course in the section template. You can make the necessary changes to resolve the conflict for your department
