Overview
NOVAdevice is the University Technology Services (UTS) program that refreshes faculty and staff computers on a regular cycle. As a finance manager or director, you play two key roles in the program: you help your area plan for upcoming device replacements, and you approve replacement requests that need departmental funds.
Requirements
- You are a finance manager or director, or serve as an Authorized Approver for one or more Index Funds in your area.
- You can sign in to the UTS Support Portal with your Villanova credentials.
Instructions
Annual NOVAdevice Communication
Once per year, UTS will send you a message that includes:
- The updated NOVAdevice catalog, showing the device models available for the coming refresh cycle.
- Reports listing the faculty and staff in your area whose devices are expected to be replaced.
You can view these reports at any time on the Reports tab in the UTS Support Portal.
Planning for Device Replacements
You are free to plan for device replacements in whatever way works best for your area. For example, you may choose to:
- Encourage faculty and staff to select standard models, which are fully covered by the NOVAdevice refresh budget.
- Set aside departmental funds for faculty and staff who need or prefer an upgraded model.

Approving Replacement Requests
When a faculty or staff member selects a model that is not fully covered by the refresh budget, the request follows this workflow:
- The employee submits a NOVAdevice Replacement Request and selects a Plus or Premium model.
- The employee is required to identify the Index Fund that will cover the additional cost and the Authorized Approver for that fund (you).
- You receive a notification that the request is awaiting your approval.
- Review the selected model and the Index Fund, then approve or deny the request.
- Once you approve the request, UTS begins processing the device replacement.
UTS cannot process Plus or Premium requests until you approve them. Responding promptly helps your faculty and staff receive their new devices on schedule.
