Mediasite: Share a presentation with specific Villanova users

Overview

There are many instances where you may want to share a Mediasite presentation with a only a specific individual or group (e.g. a student misses class due to illness, academic accommodation purposes, course design team collaboration, etc.).

To do this, you need to apply a viewing permission setting called Only Shared users.

Prerequisites

  • Only owners can share content: You cannot share content unless you are listed as the owner. If you need access to share content on behalf of its owner, please contact support@villanova.edu
  • Mediasite account required: You cannot share content with users who do not have a Mediasite account. If the user you need to share content with does not have an account, please guide them to "Mediasite: Create your Account."

Instructions

1. Log in to your MyMediasite account with your Villanova credentials: https://vums-web.villanova.edu/mediasite/mymediasite/

 

2. Select the presentation you want to share by clicking its title or thumbnail image.

 

3. Click and hold the Who Can View? slider bar with your mouse cursor to move it up to Only Shared Users. Now, your video is visible only to you and the user(s) you manually select in Step 5.

 

4. Next, click on the Share Presentation button underneath the Who Can View? slider bar.

 

5. (if inapplicable to you, skip to the next step) When the Share Presentation pop-up window appears, click the Allow Sharing button if you see the message below:

 

6. Click into the Invite by Email Address or Name field.

 

7. Begin typing the first and last name of the Villanova user with whom you would like to share your presentation. Once the user's name appears, click it to add them to the invite list.

NOTE: If you are unable to find a user's name, it may be because they have customized their Mediasite display name to include a title or nickname (e.g., Dr. Nick Riviera, Judge Dredd). Alternatively, they may not even have a Mediasite account yet. If you know the user has a Mediasite account, but still cannot find their name, email support@villanova.edu.

 

8. Repeat this process for each user you wish to add. When you're finished adding users, click the green Send Invite button in the bottom right of the window.


 

9. Mediasite will now send an email notification to each user you added with the subject line “[EXTERNAL] You've been invited to watch Presentation Title”. The automated email will show user@villanova.mediasite.com as the sender, and it will include a direct link to your presentation.

Known Issues & Troubleshooting

  • The presentation is set to "Only Shared Users", but my users still can't access it: Did you invite any shared users to view the presentation after changing the Who Can View? slider? If you haven't identified any shared users, the presentation will remain visible only to you. Please review Steps 4-8 above.
  • University email accounts onlyMediasite content sharing is only compatible with Villanova email addresses. If you invited a user who says they never received a notification, have them confirm that their Villanova email address is set as their Mediasite user email (not a Gmail or other 3rd party account).   • Lost and Deleted invites: Some users may ignore, mark as Junk, or delete emails from accounts they don’t recognize.
